Tooraweenah Show and Rodeo Sponsorship Prospectus

Client: Tooraweenah PA&H Association

A professional prospectus for a dedicated committee of community volunteers.

Community organisations often rely on passionate volunteers, but that doesn't mean their marketing should look homemade.

Tooraweenah PA&H Association runs their local annual show and rodeo, and Association secretary, Seanne, approached me to help the Tooraweenah PA&H Association create a professional sponsorship prospectus to attract new and bigger sponsors to the events. They were also seeking advice about web designers and developers as they wanted a professionally designed website.

They had a great logo, but no brand guidelines, so they first needed a consistent visual identity that everyone could work from.

The Problem

Like so many small community events, Tooraweenah Show and Rodeo relies on a volunteer committee, grants and sponsorship.

The Tooraweenah PA&H Association had a haphazard set of sponsorship request documents, but no system across the events, and it was disjointed.

The incoming new committee recognised that attracting sponsorship and grants in a world of increasing competition for funds required them to present themselves in a more professional way. 

The Process

The project began by building the brand around the Association's existing logo. While the logo itself didn't need changing, there was only one format of it, and there were no established fonts, colours or design standards, making it difficult to create consistent communications. 

I developed logo variations, a full colour palette and a straightforward set of brand guidelines that defined the visual identity and could be shared with anyone creating marketing material.

The guidelines and logo variations were then supplied to their chosen web designer, and also became the basis for designing a professional sponsorship prospectus that could be used both in print and as an interactive digital document.

I worked closely with Seanne to understand their different sponsorship levels and sponsor benefits, and we pulled together all the haphazard previous sponsor documents in to one professional prospectus.

I also worked with a local commercial printer on the appropriate specs for a professional printed version.

The Deliverables

  • Full suite of logo variations, and formats and colours. 
  • Brand guidelines, including typography, colour palettes, and accessibility guidelines. 
  • Sponsorship prospectus in print-ready and fully interactive digital versions. 

The Results

Rather than creating a single standalone document, this project established a visual foundation the Association can continue using for years to come. 

The brand guidelines have created consistency across print and digital communications, while the sponsorship prospectus helped present the Show and Rodeo as a professional event to prospective sponsors.

The result is a suite of marketing materials and a new website that look cohesive, professional and unmistakably part of the same organisation.

The committee has been proud to share and circulate the prospectus, and the interactive form has made it easier for sponsors to commit.

The Association has now attracted larger, more professional sponsors, and both the website and future marketing materials now have a clear visual framework to follow in successive years.

The hard work and investment now will pay off for years to come.

What I loved about this proect

I loved being able to help a small rural community organisation look as professional as the event they work so hard to put on.

There’s an enormous amount of time and effort that goes into running a country show, much of it from volunteers, so creating something that made it easier for the Tooraweenah PA&H Association to approach sponsors with confidence and pride was really rewarding.

I also loved that the project grew beyond the prospectus itself, giving them some simple brand guidelines they could keep using across their website and other communications.

This is a piece of work that can be easily updated to make the work of the committee far less stressful in years to come.
